Receptionist Job Description

A receptionist is the first point of contact for visitors, clients, and customers. They create a positive first impression by greeting guests warmly, answering phone calls, responding to emails, and directing inquiries to the appropriate department. Receptionists also manage the front desk, schedule appointments, maintain visitor records, receive deliveries, and perform general administrative tasks to keep the office organized and running efficiently. They ensure that the reception area is clean, welcoming, and professional at all times while providing excellent customer service to everyone who enters the workplace.

Main Responsibilities:

  • Welcome visitors and clients professionally.
  • Answer and transfer phone calls.
  • Schedule appointments and meetings.
  • Respond to emails and general inquiries.
  • Maintain visitor logs and office records.
  • Receive, sort, and distribute mail and deliveries.
  • Keep the reception area clean and organized.
  • Provide administrative support to other departments when needed.

Important Skills:
A successful receptionist should have excellent communication and interpersonal skills, strong customer service abilities, organizational and time management skills, attention to detail, professionalism, computer proficiency (especially Microsoft Office and email systems), multitasking ability, problem-solving skills, and the ability to remain calm and courteous under pressure. Reliability, a friendly attitude, and confidentiality are also essential for handling sensitive information and ensuring smooth daily office operations.

  • Perform clerical duties, such as filing and sorting and distributing mail
  • Answer telephone and relay telephone calls and messages

  • Perform basic bookkeeping tasks
